Be the chief executive officer of the chapter and see that all orders and resolutions of the chapter and the Management Team are effected and that the team carries out all its functions effectively and efficiently;
Call regular monthly Management Team meetings, sets the agenda in consultation with team Members;
Give all meeting notices, as required by Chapter Standing Rules;
Is one of three signatures authorized to sign chapter checks, drafts and orders of payment;
Answer all correspondence promptly, keeping a copy of all such correspondence in the chapter files. Ensure all forms are mailed before the specified deadlines;
Guide the chapter in all matters, considering what is best for the chapter as a whole and carrying out the decision. Keep the health and welfare of the chapter in mind always, regardless of personal feelings;
Facilitate management team meetings within the rules of consensus;
Collaborate with the chorus Director and Assistant Director(s) when scheduling the program for chorus rehearsal;
Maintain a communications link between the chorus members, the regional and international organizations. Keep chorus and team apprised of all necessary information from regional and International;
Represent the chorus at meetings or forums called by the Regional Chapter Coordinator and regional events;
Keep accurate files of all correspondence ;
Keep a copy of all regular monthly Management Team meeting minutes in Chapter files;
Coordinate annual long-range planning calendar with management team based on the goals and values of the chapter membership;
Maintain current copies of Regional By-laws and Chapter Standing Rules;
Presents the Director and Assistant Directors with contracts for signature. Retains contracts in Team Management files; and
Ensure that final expenditures from all committees under her direction are submitted to the treasurer by April 30 of each year.
The following teams/commitees report to the Team Coordinator:
Holds primary responsibility for the musical product of the chorus.
REPORTS TO: Management Team ELECTED BY: Chorus membership. See Section IV of Chapter Standing Rules LENGTH OF TERM: By contract FUNCTIONS: Holds primary responsibility for the musical product of the chorus. QUALIFICATIONS: Degree in music preferred, basic knowledge of barbershop music, ability to teach music skills to membership, ability and commitment to promote the interest of the chorus, basic knowledge of vocal production. COMMITTEE(S): Musical Leadership Team In addition to the 7 responsibilities outlined in Section VIII of the Chapter Standing Rules, it shall be the duty and responsibility of the Chorus Director to: · Perform all duties as outlined in the Director Contract; and · Ensure that final expenditures from all committees under his/her direction are submitted to the Treasurer by April 30. The following teams and committees are under the direction of the Musical Director: Musical Leadership Team: The Musical leadership Team shall consist of the following positions. Necessary changes may be made at the discretion of the Musical Director(s), to assist with the musical goals of the chorus and promote education of members, with approval of the Management Team.

COMMITTEES: Appointed by Events Coordinator as needed In addition to the 7 responsibilities outlined in Section VIII of the Chapter Standing Rules, it shall be the duty and responsibility of the Events Coordinator to: · Provide information to membership about all Chapter, Regional and International events; · Appoint committee members such as: breakfast coordinator, dinner coordinator, photograph order coordinator; hotel coordinator and oversee and manage all such committees; · Oversees and manages all Regional and International events for the chorus. · Assume the Team Coordinator’s duties in the event of her absence or disability;
Receive and read all event information from Team Coordinator, Director or directly from Region or International;
· Prepare sign up sheets for all Regional and International events for registration, transportation and meals as appropriate for the event; · Prepare and distribute an information sheet to members to include a list of expected costs with an explanation of what the chorus pays for and what each member is responsible for; · Coordinate with costume and makeup committees regarding what members need to have for competition; · Consult with Management Team Coordinator and Director to have all forms sent in before deadlines for competition; · Collect necessary monies, keep accurate records and turn in monies to the chorus treasurer · Is one of three signatures authorized to sign chapter checks, drafts and orders of payment; · Ensure that final expenditures from all committees under her direction are submitted to Treasurer
The following committees report to the Events Coordinatr:
REPORTS TO: Management Team and Chorus LENGTH OF TERM: Two years. May be reelected (Odd numbered year) FUNCTION: Manages chorus funds. QUALIFICATIONS: Interest in the financial status of the chorus; organizational skills; communication skills; visionary/creative. Ability to delegate responsibility. Committee: Appoints as needed In addition to the 7 responsibilities outlined in Section VIII of the Chapter Standing Rules, it shall be the duty and responsibility of the Financial Coordinator to: · Ensure that the chorus earns enough working capital throughout the year to support the approved budget. Oversees all ways and means projects approved by the Management Team; · Prepare the annual budget to be presented to the Management Team at the June meeting. Adjust budget as necessary throughout the year with the approval of the Management Team; · Present at each Management Team meeting a current balance of all accounts. Report at requested, all transactions of the treasurer and the financial condition of the chapter;
Obtain insurance liability rider for events.
· Bring recommendations to the Management Team for decision and action regarding the financial needs of the chapter to include fundraising, sponsorships, possible grants, etc.; · Prepare and file required IRS forms in compliance with rules and deadlines established by Sweet Adelines International and the Internal Revenue Service; and · Ensure that final expenditures from all committees under her direction are submitted to Treasurer by April 30 of each year.
The following responsibilites ae under the direction of the Financial Coordinator:
Coordinates publicity ad marketing for the chorus.
REPORTS TO: Management Team and Chorus LENGTH OF TERM: One year FUNCTION: Oversees other Marketing personnel QUALIFICATIONS: Written and oral communication skills, organizational skill, ability to lead with a positive attitude
Work with and give suggestions to Publicity and Newsletter chairs.
Serves as chair for show publicity committee
Oversees Publicity position who
Endeavor to keep the chorus in the public eye and promote chorus activities within the community by preparing and submitting news releases, public service announcements and other advertisements covering chorus activities and special events for newspaper, radio television and other public media.
REPORTS TO: Management Team and Chorus LENGTH OF TERM: Two years. May be reelected (even numbered year) FUNCTIONS: Promote membership retention and growth. QUALIFICATIONS: Organizational skills, enthusiasm, enjoy meeting and working with people.
Give all membership applications to Treasurer for submission to International;
Spearhead membership drives by holding guest nights, contests and generally encouraging members to bring guests;
Keep Chapter brochures and material up to date;
Introduce each guest to the chorus and the Directors. Have the Director place the guest on the risers.
Follow-up guest visits with a telephone call. Arrange for someone to pick the guest up for rehearsal the first few nights if appropriate;
Give a list of guests and new members names and addresses to the person maintaining groupanizer;
Encourage members to wear name tag;
Provide New Members with welcome letter and name tag;
Schedule membership events as agreed upon by the Management Team;
Conduct exit interview and coordinated return of chorus property when Member resigns; and
Monitor expense to comply with the approved annual budget. Submit receipts and bills to the Treasurer for payment. Ensure that final expenditures from all committees under her direction are submitted to Treasurer by April 30.
Oversees the coordinator of all performances, costume and makeup committees. Primary contact person for singing engagements. She must gather information on type and length of performance and find out if it is a paid performance or community service function;
REPORTS TO: Management Team and Chorus LENGTH OF TERM: One year FUNCTION: Oversees the following: The coordination of all performances, the costume and make-up committees. QUALIFICATIONS: Communication, organizational and people skills. Interest in costuming.
Contact person for singing engagements. She must gather information on type and length of performance and find out if it is a paid performance or community service function;
Arrange for risers, warm-up room and PA system;
If calls for singing engagements aren’t coming in, she makes contacts with the goal of securing performances for the chorus;
Contact the director and the costume and makeup chairs, telling them the details of the singing engagement. Also, in written form, informs the chorus of the details and circulates a sign-up sheet
Make sure there are emcees for the performance and that the emcee material has been written. (The Marketing Coordinator may be able to help with this as well as any other aspect of the performance.)
Maintain a record of the year’s singing engagements
